Shifting the computer systems that track payroll, human resources and finances from a mainframe to a cloud-based operation is taking longer and costing more than originally projected at the University of Texas at Austin.
Not so for the Texas A&M University System’s leap to the cloud, even though A&M is using the same vendor, Workday Inc., based in Pleasanton, Calif.
A&M, with 11 universities and seven state agencies, activated payroll, human resources and benefits systems from Workday this week, capping a 27-month, $51 million project. The systems serve about 58,000 student workers, faculty members, staff members and retirees.
“The A&M System has entered the 21st century, launching a common, super-modern HR and payroll system that was agreed upon by all members of the A&M System,” said Chancellor John Sharp. “We have also streamlined many of our HR and payroll processes, which will help us focus on our mission of teaching, research and service.”
UT-Austin originally planned to launch payroll, HR and financial systems in July. The payroll and HR systems are on track for startup in fall 2018 as announced in August, said UT spokeswoman Rhonda Weldon. The system for tracking finances is on hold indefinitely while the university modernizes a patchwork of procedures for procurement and other functions. UT expects to exceed its $106 million budget for the various upgrades but isn’t sure by how much.
“Our monthly spend has slowed since our decision to postpone the financials implementation and we’ve since reorganized to a much more austere management structure,” Weldon said. “We have not yet exceeded our original budget of $106 million. The program anticipates presenting a revised budget proposal to university leadership in early spring.”
